Office Manager

Artel Video Systems, a Westford MA based developer and manufacturer of media transport hardware has an opening for an Office Manager. Artel is an employee owned company (ESOP), founded in 1981 Artel has been a leading supplier of media transport for the telecommunications and broadcaster industry.

The role of Office Manager will provide accounting and human resources support to major financial accounting and HR areas, including Accounts Receivable, Accounts Payable, Payroll, Employee Benefits, Recruitment, and employee onboarding. Also, he or she must be comfortable in a hands on working environment and embrace the culture of an employee owned company.

Key Responsibilities

Accounts Receivable: 

  • Process invoices to customers
  • Manage past due accounts
  • Verify/process cash receipts
  • Process credit card transactions
  • Review customer credit references
  • Provide POD/documentation as required
  • Assist with month end close
  • Assist with special projects as required

Accounts Payable:

  • Process invoices from vendors
  • Maintain address book
  • Schedule and prepare check run
  • Process wire transfers
  • Manage unvouchered receipts
  • Research discrepancies and respond to AP inquiries from vendors
  • Assist with for month end close
  • Verify/process expense reports
  • Assist with Special Projects as required

Human Resource and Payroll:

  • Keep employee records updated with appropriate forms
  • Responsible to set up new employees/terminations in payroll software
  • Process weekly payroll and related activities
  • Manage benefits including: Medical/Dental/Vision/FSA
  • Manage PTO process
  • Ensure organization is in compliance with labor regulations
  • Provide annual reporting 401k and ESOP compliance
  • Work with management on job openings
  • Maintain organization chart and job descriptions
  • Integral role on the companies ESOP Activities Committee
  • General office management responsibilities
  • Assist with special projects as required


  • Excellent interpersonal and communication skills with the ability to communicate with executive level personnel both external and within the organization.
  • Ability to multi-task and prioritize.
  • Excellent organizational skills and the ability to meet deadlines and work under pressure.
  • Ability to work on their own initiative – self-starter and be an active part of the team.

  • 3+ years in accounting and or HR
  • Knowledge and experience working with accounting systems
  • Ability to demonstrate solid written and oral communication skills
  • Strong organization skills
  • Team player who can also work well with minimal supervision
